Urgent maintenance or a safety issue during business hours: Call (805) 893-8300, then submit a work request online so it's tracked.
After hours, weekends, and holidays: Call FM After-Hours Pager Phone at (805) 451-9914 or UCPD at (805) 893-3446. They will notify the on-call technician. The online work request system is not monitored around the clock — please don't use it to report an emergency.

How do I request work?
Submit a request at workrequests.ucsb.edu. Include the building, room, and as much detail as you can. Specifics help us route the work correctly the first time. You can attach a photo, video, or PDF document (up to 4 MB, HEIC files are not accepted).
What's the difference between a Work Request and a Work Order?
A Work Request is what you submit. Once Customer Service reviews it for completeness, it becomes a Work Order (also called a work ticket) and is assigned to a superintendent, who schedules a technician.
What happens after I submit?
You'll receive an email at each stage:
- When your request is received
- When it's accepted and converted to a Work Order, with an estimated response time
- When the work is marked Finished, along with a short customer service survey
Why was my request rejected?
Most commonly: it duplicates a request someone already submitted, it's work another campus department handles (see below), or a chargeable request came in without a CCOA account number. The rejection email explains the reason and any next steps.
How long will my request take?
Estimated response times are listed under "Facilities Management – Estimated Response Times" at the bottom of your "Work Request # Accepted – Work Order FS-# Created" email. Always refer to that email for the most current times. Response time depends on the priority of the work. Safety and urgent issues are addressed first, and routine requests are scheduled as staffing allows.
How do I check the status of my request?
If you need an update beyond what the emails show, email FM Customer Service with your work request or FS number and we'll look it up for you.
I already reported this. Do I need to submit again?
No. If a ticket already exists for the issue, submitting again creates a duplicate that gets rejected. Check your existing ticket status first, or email Customer Service with the FS number to ask for an update.
How do I look up all of my department's requests, or get a report?
Email FM Customer Service with your work request or FS number and we can provide one for you.
How do I find out about planned outages and service interruptions?
The UCSB Administrative Services Status Page posts maintenance events, construction disturbances, and utility interruptions. Click Subscribe to Updates to get email or text alerts. By default you're subscribed to everything: Click Select None first, then pick only the buildings and systems you care about.
Will my department be charged for this work?
Some services are centrally funded building maintenance and others are recharged to the department. See the Services & Funding Guide for more details. Chargeable requests require a CCOA account number at submission.
How do I change the CCOA account number on a request that's already been accepted?
Email the new account information to dfss-bfp@ucsb.edu.
How do I get an estimate before committing to the work?
Check the Estimate Only box when you submit. You'll receive the estimate by email when the estimate ticket is marked Finished. If you decide to proceed, submit a new work request that includes your CCOA account number and references the estimate ticket number.
Is my request maintenance or a project?
Maintenance repairs, services, or replaces something so it keeps working as it was designed to. Projects change the space — new construction, alterations, or permanent improvements. Projects require a Project Initiation Form (PIF) rather than a work request.

If you're not sure, submit a Work Request and describe what you're trying to accomplish. We'll route it to the right place and let you know if a PIF is needed.
What do I need for a PIF?
A description of the work, a ballpark budget, a desired completion date, and a CCOA account number to fund project scoping. A project manager will follow up to develop the actual scope, budget, and schedule.
Can I hire an outside vendor directly?
For a few services, yes, you can contact these vendors for an evaluation and formal estimate:

Once you have an estimate, submit a work request with the estimate attached and your CCOA account number. FM processes the estimate and executes the contract, which takes roughly 2–4 weeks, after which a Notice to Proceed is issued and work can begin. For any vendor not listed above, submit a work request before contacting the vendor and we'll advise on how to proceed.
How do I get liners or bags for my office trash can?
Facilities Management provides them. Contact the custodial supervisor for your zone.

Can I get additional or extra custodial service?
Extra custodial service may be available as resources allow, performed on a recharge basis and on overtime. Submit a work request with your CCOA account number. For recurring service — monthly kitchen, office, or floor cleaning — note the frequency in your request and we'll confirm scheduling before setting it up.
Has custodial service changed?
Yes. FY26 budget reductions affect several service levels. Restroom cleaning remains a priority; other areas receive reduced attention. See Custodial FY26 Budget Reduction Service Level Impacts for details.
I left something behind in a classroom or office. Where does it go?
Items found by FM Custodial staff go to the campus Lost and Found Office in North Hall, Room 1131. For classrooms, also check Classroom Services at 1140 Kerr Hall, in case someone else turned it in there.
Can I get whiteboard markers and erasers?
No — classroom teaching supplies aren't provided by Facilities Management. Contact your department office or business manager to order them.
Some requests are handled by other campus departments. Sending them directly is faster than routing through us.
